Overseas TMS — Privacy Policy

Overseas TMS is an internal transportation management system owned and operated by Overseas Solution Commerce LLC, 14401 Export Rd, Laredo, TX 78045 ("Overseas", "we"). It is used only by our employees to manage freight shipments for our customers and carriers. It is not offered to the public.

Information we access from QuickBooks Online

When an authorized Overseas administrator connects Overseas TMS to our own QuickBooks Online company, the application accesses customer, vendor, product and service, account, invoice, bill and payment records. We use this information only to create and update invoices to our customers and bills to our carriers and vendors, to attach shipment documents, and to update payment status in Overseas TMS.

Information we collect in Overseas TMS

Business contact details of customers, carriers and vendors; shipment details; tax identification numbers; insurance and compliance documents; payment terms; and proof-of-delivery documents.

How we protect it

Data is stored on servers located in the United States, transmitted over encrypted connections (HTTPS), and access is limited to authorized Overseas personnel with two-factor authentication. QuickBooks access tokens are stored encrypted. Daily encrypted backups are kept for business continuity.

Sharing

We do not sell, rent or share QuickBooks data with third parties. Information is shared only as needed to perform a shipment (for example, pickup and delivery details to the assigned carrier) or when required by law.

Retention

Shipment and billing records are kept for at least five years to meet U.S. federal recordkeeping requirements for property brokers (49 CFR 371.3) and tax obligations.

Disconnecting

An Overseas administrator can disconnect QuickBooks at any time from Overseas TMS or from QuickBooks Online. After disconnection, the application no longer accesses QuickBooks data; records already created in QuickBooks remain in QuickBooks.
